Privacy
This policy reflects how TradeVulcan currently handles account, connector, messaging, publishing, and workflow data across the platform.
This Privacy Policy explains how TradeVulcan collects, uses, stores, shares, and protects information when you visit our website, create an account, connect third-party systems, send messages through the platform, publish media, or use any TradeVulcan app, deployment, connector, or admin tool.
TradeVulcan is a software platform for home service businesses. Some apps use CRM connectors, messaging rails, AI features, media publishing tools, or payment services. This policy applies to the information we process to operate those services.
We collect account and workspace information such as names, email addresses, organization details, user roles, authentication records, and settings needed to manage access and permissions.
We collect billing and commercial information such as subscription status, order history, purchased apps, entitlements, invoices, and limited payment-related metadata from billing providers. We do not store full payment card numbers on TradeVulcan servers.
We collect connector and operational data you choose to send through the platform, which may include CRM records, job and estimate data, customer names, phone numbers, email addresses, appointment details, job photos, workflow settings, deployment configurations, activity logs, and connected account metadata.
We collect messaging and publishing data needed to run the platform, including sending numbers, email sender identities, delivery statuses, replies, opt-out records, moderation edits, public-safe publishing outputs, and audit logs.
We collect usage, device, and support information such as IP address, browser information, approximate location derived from network information, page interactions, logs, diagnostics, and correspondence with our team.
TradeVulcan uses essential cookies and similar technologies to operate the website, remember security and preference choices, and keep forms working correctly.
Where enabled by your cookie choices, we may use analytics or marketing cookies to understand website traffic, campaign performance, page paths, referrers, UTM parameters, and ad click identifiers. This helps us understand which pages and campaigns lead to demo requests.
When you submit a demo or contact form, the lead record may include source context such as landing page, current page, referrer, UTM campaign fields, ad click identifiers, and the cookie preference state at the time of submission. This information is used by our sales and support teams to understand the request and improve the website.
You can reopen cookie preferences from the footer. Blocking or declining optional cookies may limit longer-term attribution, but essential site functions and form submission remain available.
We use information to provide and secure TradeVulcan, authenticate users, manage organizations, provision entitlements, operate app deployments, process payments, deliver messages, publish approved content, monitor connector health, troubleshoot failures, and improve reliability, performance, and product experience.
We also use information to respond to support requests, investigate abuse, enforce our agreements, comply with law, and communicate operational notices such as account alerts, billing notices, product updates, and security-related messages.
When you connect a CRM, messaging rail, Google Business Profile, publishing destination, or other third-party system, you instruct TradeVulcan to process data from or on behalf of your workspace. You are responsible for having the rights and permissions needed to connect those systems and to process the related customer data.
TradeVulcan may normalize, transform, store, and display connector data inside apps so your team can operate workflows, moderate content, review diagnostics, publish approved outputs, and maintain audit history.
If you use messaging features, you are responsible for obtaining any consent required under applicable law, carrier rules, platform policies, or your customer agreements. TradeVulcan may store proof of opt-out, suppression, consent attestations, delivery history, and related compliance records.
Some TradeVulcan apps may use AI features to draft, rewrite, classify, summarize, or transform content. AI output may be inaccurate or incomplete and should be reviewed before use.
When AI features are enabled, the platform may send selected inputs such as workflow context, job summaries, public-safe content drafts, or message prompts to the configured AI service needed to generate a response. We do not intentionally use customer AI prompts to train third-party models unless that provider's terms explicitly say otherwise and you choose to use that provider.
We share information with subprocessors and infrastructure providers that help us operate the service, such as hosting, authentication, database, analytics, storage, payments, messaging, email, AI, support, and monitoring providers.
We share information with connected third-party services when your workspace enables that connection or triggers an action, such as sending data to a CRM, messaging provider, email provider, or publishing destination.
We may disclose information when required by law, to respond to legal process, to protect rights or safety, to investigate misuse, or as part of a merger, financing, reorganization, or sale of all or part of our business.
If you publish content through Proof Pulse or similar publishing tools, approved content may become publicly accessible on hosted feed pages, detail pages, embeds, or other distribution surfaces you enable.
TradeVulcan is designed to support public-safe publishing controls, including city-, neighborhood-, or service-area-level display by default. You are responsible for reviewing content before publication and for ensuring that public output does not include information you are not authorized to disclose.
We retain information for as long as reasonably necessary to provide the service, maintain account history, support auditing, comply with legal obligations, resolve disputes, and enforce our agreements.
Retention periods may differ based on data type, workspace settings, contractual commitments, operational needs, or legal requirements. We may retain backup or log data for a limited additional period after deletion from active systems.
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. These measures may include access controls, encrypted transport, secret handling, audit logging, environment-based restrictions, and role-based permissions.
No system is perfectly secure. You are responsible for maintaining the confidentiality of your credentials, using appropriate access controls within your workspace, and notifying us promptly if you suspect unauthorized access.
You can update certain account, workspace, connector, messaging, and publishing settings inside the product. You may also request access, correction, export, or deletion of certain personal information, subject to legal exceptions and our legitimate business needs.
Marketing emails from TradeVulcan include unsubscribe controls where required. Operational messages about your account, billing, security, or service use may still be sent even if you opt out of marketing communications.
TradeVulcan is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children in connection with the public website or product.
We may update this Privacy Policy from time to time. If we make material changes, we may post the updated version on this page, update the effective date, and provide additional notice when appropriate.
If you have privacy questions, data access requests, or security concerns, contact TradeVulcan through the contact information provided on our website or inside your workspace admin settings.
