Use staff-first routing
Backup coverage normally follows business number → staff ring group → AI answering line when busy or unanswered. Configure the busy/no-answer or overflow rule in the system that owns your business number. The right control names and timing depend on that phone system.
Before changing anything, write down the existing ring sequence and voicemail timeout. Decide which calls should overflow, and what happens if both your people and the AI route are unavailable. Keep a known recovery route rather than relying on undocumented forwarding.
Set up the agent independently
Create and activate your Vulcan Voice agent before routing business traffic to it. Use the same company name, service policies and customer expectations your office uses. The agent should explain the next step without pretending to be the employee who normally answers.
A useful backup role collects the service concern and contact details, answers approved questions, uses supported booking where configured, and sends exceptions to the designated team path. Do not promise an immediate callback simply because the caller reached AI.
Prevent two common routing failures
Competing voicemail: if your staff voicemail answers before the overflow rule takes effect, the customer never reaches AI. Align the ring and voicemail timing in the phone system and test it from an outside phone.
Forwarding loop: if the AI's Office / handoff phone is the same business number that forwards to AI, a request for a person can loop. Use a direct office destination, different ring group or another approved fallback. Do not use repeated transfers as a substitute for a clear message-taking path.
Test each condition separately
- Call during normal coverage and let staff answer. Confirm the ordinary workflow is unchanged.
- Call again and let the staff ring group time out. Confirm that AI answers with the right greeting.
- Test the busy condition your provider supports; do not assume it behaves like no-answer.
- Ask the AI for a person. Verify the destination and failed-handoff behavior.
- Complete one request and check its saved record and follow-up owner.
Use your own authorized testing phones and avoid disrupting real customer calls while simulating a busy office.
Review overflow as a distinct group
Filter the Voice dashboard to the relevant agent and line. Voice analytics covers Voice-origin interactions, not every call answered by your staff elsewhere. You may need Call Spark or your current phone-system reporting to understand the full business-number answer rate.
Compare like periods and similar routing conditions. More AI calls can indicate improved overflow capture, a staffing change, or a longer staff response time. Inspect the route and outcomes before drawing a performance conclusion.
